Overview
Treesafe Australia Pty Ltd (“the Company”) is committed to protecting the privacy of its employees and meeting any privacy obligations set out in the Privacy Act 1988 (Cth) (‘the Privacy Act’) that may apply.
The Privacy Act generally applies to organisations with an annual turnover exceeding $3 million, requiring a privacy policy that explains how personal information is collected, used, and managed.
The Company collects personal information to conduct its business and comply with legal obligations.
This policy explains how the Company handles personal information of employees, contractors, and job applicants. A separate policy may exist for client and customer information.
1. Personal Information
Personal information identifies an individual or makes their identity reasonably apparent.
This includes sensitive information such as racial or ethnic origin, political or religious beliefs, trade union membership, sexual preferences, criminal record, and health or biometric data.
Sensitive information will only be collected when necessary for business purposes, generally with consent, unless required by law.
All personal information will be handled securely and used only in accordance with this policy and applicable legislation.

The Company will collect personal information only when reasonably necessary for its business functions or activities.
Information Provided by an Individual
The Company commonly collects information directly from individuals, including during recruitment and onboarding. Successful candidates may be asked to provide identity documents and employment-related details such as:
- Application forms, resumes, and emergency contact details
- Address, email, and phone number
- Date of birth
- Gender
- Identification documents (passport, driver’s licence)
- Marital status and family details (for personal leave)
- Bank and tax details
- Superannuation information
- Share and option plan details
Information Provided by a Third Party
With consent, the Company may collect information from:
- Recruitment agencies and former employers (reference checks)
- Visa status checks for eligibility to work in Australia
- Academic institutions (verification of qualifications)
- Health professionals or government agencies (medical checks, criminal history, or working with children checks)
- Public sources such as LinkedIn or Facebook
Information Collected During Employment
During employment or contractual engagement, the Company may collect:
- Contract details (start/end dates, department, title, salary, bonuses, entitlements)
- Performance and disciplinary records
- Attendance and leave details
- Training participation and expenses claimed
- Usage of company property and systems (e.g., computers, swipe cards, telephones)
3. Use of Personal Information
Personal information may be used for:
- Recruitment, onboarding, and management of employees or contractors
- Payroll, appraisals, performance management, and disciplinary processes
- Legal, HR, accounting, and insurance administration
- Compliance with tax, superannuation, and WHS obligations
- Managing employment contracts and benefits

Website and Marketing Use
The Company may use personal information (e.g., name, image, job title, work contact details) on its website or marketing materials for legitimate business purposes.
In some cases, such use may continue after employment ends, such as keeping photos in historical company content.
Concerns about such use should be discussed with a manager.
4. Disclosure of Personal Information
Personal information may be disclosed to:
- Other companies within the group
- Employees and contractors (as required for operations)
- Technology providers (cloud services, security, IT maintenance)
- Banks, superannuation funds, travel agents, and consultants

5. Accuracy and Storage of Personal Information
The Company endeavours to maintain accurate records. Individuals must keep their personal details up to date.
Staff are expected to:
- Access or share personal data only when necessary
- Keep data secure and regularly review its accuracy
- Use strong passwords and lock unattended devices
- Avoid saving personal data to personal devices
- Shred or securely delete personal data when no longer needed
- Report any security breaches immediately to their manager
6. Access to Personal Information
Employee records are exempt under the Privacy Act and may not be disclosed upon request.

The Company may charge reasonable fees for access and may refuse requests as permitted by law.
7. Raising a Concern or Complaint
Concerns regarding the handling of personal information should first be raised with a manager.

Complaints are generally requested in writing, and the Company will endeavour to respond within 21 days.
